A practical preparation checklist
Start with your role and your records
Your business decides why it collects customer information for a rental, which fields are necessary and how long records are kept. Rent in Hand is a tool used to run that operation; using it does not remove your responsibility to explain your own processing and handle customer requests.
Before a live launch, map the journey from enquiry to booking, handover, payment, return, damage, repair and deletion. Include spreadsheets, email, payment providers, delivery tools and the website widget — not only the dashboard.
Questions to resolve before production data
- Which categories of personal data will be entered, and which can be left out?
- Which staff roles need access to contact details, agreements, deposits and reports?
- What is the retention rule for completed rentals, invoices, damage evidence and support conversations?
- How will you verify and answer access, correction, export or deletion requests?
- Which vendors receive data, and what current contractual or transfer documents do you need?
- What does your public privacy notice say about the website, analytics, forms and the rental service?

What personal data might a rental business store?
That depends on your configuration, but it can include customer contact details, rental dates, agreements, signatures, payment records, delivery information, damage notes and staff accounts. Collect only what the operation needs.
