Rental software for event and party hire

Everything goes out on Friday and comes back on Monday. The trick is knowing in June that the chairs are already promised in September.

Rental software for event and party hire

For a business with two busy days a week

Peaks, packages, deliveries and a great many small items that come back sticky.

  • Availability months ahead

See what is free on a Saturday in September before you promise it. Overlapping bookings are blocked rather than spotted afterwards.

  • Packages as one line

Tables, chairs, linen and glassware go out as a set, so nothing is forgotten at the loading bay or missed on the return.

  • Bookings from your own website

Couples plan at eleven at night. The widget shows real availability and takes a deposit then, and the booking lands on your desk as a normal order.

  • Delivery and collection

The crew closes the drop from a phone: scan, photograph, signature, balance. No paperwork rides back in the van.

  • Deposits and damage

Hold a deposit, deduct for the burnt tablecloth or the chair that did not come back, and keep the photo that justifies it.

  • Seasonal staff, limited access

Take on hands for the summer without handing over the takings. Roles decide who can see and do what.

Peak Saturdays

Double-booking a wedding is not a small mistake

The year's revenue lands on about forty days, and most of them are Saturdays. Availability is worked out from real stock, so the same hundred chairs cannot be promised to two marquees on the same weekend. If something is out, damaged or in for repair, it is not bookable.

  • Overlaps blocked at the counter, on the phone and in the widget
  • Packages counted as complete sets
  • Day, week and month views for the season ahead
  • Damaged stock kept out of availability

Deliveries

Three drops, two collections, one van

Event hire is a logistics business with a warehouse attached. Every booking carries its delivery and collection window, so the day's runs come from the same data as the hires. The crew closes each job on site instead of scribbling on a copy that gets lost by Monday.

  • Delivery and collection times on the booking
  • Handover, photos and signature from the app
  • Balance or deposit taken on the doorstep
  • Dashboard updated before the van is back

Frequently asked questions

Can customers book and pay online?

Yes. The booking widget goes on your own site, or works as a standalone link for a social profile, and shows the same live availability your staff see. Payments run through your own provider and we take no commission on bookings.

How do I handle three hundred chairs?

Stock like that is usually set up as a set rather than three hundred separate records. You book the quantity a job needs and the calendar keeps the remainder free for the next enquiry.

What about damage to linen and glassware?

Photograph the return, record the damage against the hire and deduct it from the deposit with the reason attached. The customer sees the same picture you are looking at, which shortens the conversation.

We hire marquees by the week and chairs by the day.

Rates are set per item, hourly, daily or weekly, with your own minimum periods. So a marquee on a weekly rate and chairs on a day rate live in the same catalogue without a workaround.

Is there a plan that suits a seasonal business?

Start is $8 a month on annual billing, Business is $20 and Pro is $35, and the seven-day trial does not ask for a card. Most event firms set up in the quiet weeks and go live before the season starts.
